Import users in bulk using a CSV upload

This article will show you how to import users from a CSV file. This will come in handy if you want to:

  • Add a bunch of Readers, Learners, Editors, or Admins to your account.
  • Assign a bunch of Readers, Learners, Editors, or Admins to a Viewer Group.
  • Avoid sending a setup email to Readers, Learners, Editors, or Admins you want to add.

Follow the instructions below and you'll be done in less than 15 minutes.

What kind of users do you need to import?

If you need to upload both Editors/Admins AND viewers, we recommend you do one group at a time. Start with uploading your list of Admins/Editors. Once that is done, upload your list of Viewers.

Are you using Single Sign-on/Remote Authentication?

Do you need to assign users to a group?

Do you want to give your editors "Full Access" to editing privileges?

Note: This is not the same as Admin privileges. Full Access means that editors can:

  • create uncategorized articles,
  • publish articles,
  • delete articles, and
  • moderate comments.

Include each user's contact information

The email needs to match the email used for single sign-on or remote authentication.

Note: leave the RemoteUser column BLANK.

Enter each user's role

Click here for details around user roles.

Enter the editable sites

Use a comma and a space after the comma to separate multiple values in a cell (e.g. Accounting, AP).

Admin can edit all sites, so you do not need to include sites for Admin roles.

Enter the editing permissions

Leaving the EditingPermissions column blank will give your editors "Full Access" to editing. This is NOT the same as Admin privileges. Click here for more details on editing permissions.

Upload CSV file

1. Click on Account > Users
2. Click on Import Users
3. Upload File

Choose a file (the CSV file that you exported) and then select Upload.  Your users will be imported. If you included an email address then they will be sent an email notification of their new account.

Download this CSV template

If you try to import a user with an existing login but a different email address then an error will occur.
